Custom software or an existing product: how to choose

A guide to choosing a product, an integration or a custom platform, using concrete examples from the Novyst ecosystem.

Describe the work that needs to happen

Start with a real process: who enters information, who reads it, who decides and what happens next. “We need a platform” leaves many questions unanswered. “The team records a vehicle, tracks preparation and publishes it on the website” lets you assess options and identify repeated data entry.

Look for a product that covers the main task

An existing product can suit a common process when its rules fit the available configuration. BCaly starts with scheduling and services; StandCore with vehicles and sales; FlowUptime with availability, content and supported forms. Compare the main task, plan limits, exports and support. A feature name is no substitute for a demonstration of the complete workflow.

Consider integration when the tools already work

If a team already works well with two applications, the need may simply be to avoid entering data twice. Identify the source of truth, the fields to exchange and what should happen when the connection fails. Feasibility depends on APIs, permissions, limits and provider terms. An integration needs ownership and follow-up after publication.

Consider custom development for your own rules

A custom platform may be justified by rules, approvals, permissions or workflows that available options do not cover. Compasso, for example, separates temporary identification on a shared terminal from management access. The project remains in commercial preparation. This kind of decision follows the way work happens, rather than screen appearance alone.

Compare the lifecycle as well as the initial work

Alongside construction, consider hosting, maintenance, backups, updates, support and external dependencies. Define responsibility for data and how it can be exported. When replacing another tool, plan migration, validation and a way to revert. Include these elements in the written scope.

Start with a phase you can validate

Choose one important workflow for the first version and define how to test it. Identify its users and observable outcomes without promising improvements that have not been measured. A Novyst enquiry can start in writing with the current process, tools, difficulties and goal. The proposal determines whether to configure a product, connect tools or build a solution.
